Bookkeeping

The monthly close, reliable. Books you can trust when you are making a real decision.

❖

Categorization, reconciliation (matching the books to the bank), accruals (recording income and bills in the month they belong to), and the monthly close, delivered by the 5th, with commentary a non-accountant can read aloud without flinching. The books you want when a banker, a partner, or the Internal Revenue Service (IRS) asks a question on short notice. We work in QuickBooks Online, and we read every line, including the ones the software's AI miscategorized.

No. 02.1

Who It's For

Coaches with a full client roster and a shoebox of receipts. Healers with a thriving practice and a limited liability company (LLC) that runs on faith. Producers whose events sell out and whose books never close.

Small enough to know everyone by name. Structured enough to have a profit and loss statement. That is the admissions test.

What's Included

Monthly close by the 5th: categorization, bank and card reconciliation, accruals, and a preliminary profit and loss statement.

Accounts receivable: invoicing, tracking who is late to pay, and light-touch collections. Accounts payable: bills, vendor payments, and 1099-NEC preparation.

Sales tax filings, tracking equipment and other large purchases as they lose value (depreciation), and a clean year-end handoff to your certified public accountant (CPA) in the format they already know.

A proprietor's letter every month: one page on what the numbers did, what changed, and what to watch.

How It Works

Receipts come in through Dext. Our in-house Claude and QuickBooks Online integration, Mercurius, sweeps the books for uncategorized and duplicate transactions and scores each month's readiness to close. The human work is the review, the judgment calls, and the commentary. The clerical portion, dissolved. The judgment portion, preserved.

Behind on the books? We catch up first, then close monthly from there.

What It Costs

A monthly retainer, reviewed quarterly, scoped to your actual volume. We do not bill hourly and we do not bill in surprise increments. If the scope changes, the number changes, plainly and in writing, before the next month begins.

Tools: QuickBooks Online, Ramp, Dext, and Mercurius.

Questions, Answered

Will you replace my CPA?

No. We complement. Bookkeeping and the monthly close are us; tax filing is your accountant. We hand off clean records at year-end so theirs is the easy half.

Do you work outside QuickBooks Online?

QuickBooks Online is home base, and the tool our automation is built on. If you are on something else, we will talk through moving.

Can you clean up books that are months behind?

Yes. One recent engagement arrived with fourteen months unreconciled across two entities and a tax deadline in six weeks. It closed on time.

More in the Steward's frequently asked questions.
